Landscaping combines recurring service and project work. The useful documents differ: a mowing/maintenance account needs recurring terms; a new landscape installation needs scope and proposal approval; added irrigation or hardscape work may need a change approval.

Recurring maintenance agreements

Document frequency, included services, seasonal adjustments, pricing and responsibilities such as access or irrigation controls. Use a reusable template if the standard agreement is genuinely stable.

Installation proposal approval

For planting, turf, irrigation or hardscape projects, get the final scope/price PDF signed before ordering materials or reserving major labor blocks.

Selections and substitutions

Plant varieties, materials, colors and equipment can change based on availability or customer choice. If the change is material, document the approved substitution rather than relying solely on a phone call.

Additional work and site conditions

Unexpected drainage, buried conditions or requested add-ons can change both cost and schedule. A change order or additional-work approval should say what changes and what the adjustment is.

Closeout

For larger installations, a completion acknowledgement can record handover instructions, remaining punch-list items and customer review.
