Your document in. Signed record out.
PocketESign keeps the workflow focused: upload the PDF you already use, place fields visually, send it to one or more recipients, track progress and keep the completed record.
Six steps. No agreement-platform maze.
Each step maps to something you can actually do inside PocketESign today.
Upload your PDF
Start with the estimate, agreement, work authorization, change order or other PDF you already use. Choose a name, expiration window and the first signer.
Place fields visually
Open the PDF in PocketESign's browser editor. Place and move Signature, Initials, Text, Date and Checkbox fields exactly where they belong.
Add recipients & order
Add multiple signers when the document needs more than one approval. Use signing order when signer 2 should wait until signer 1 has completed their part.
Send the signing request
The recipient gets a signing invitation and opens the secure signing workflow in a browser. They do not need a PocketESign account just to sign your document.
Track, remind or cancel
Follow Sent, Viewed and Completed status. For eligible pending requests you can send a reminder; active requests can also be cancelled when the approval should no longer proceed.
Keep the completed record
When all required signing steps finish, PocketESign marks the request Completed and gives you access to the completed document and signing activity for your records.
Put the signature where the document needs it.
You do not have to describe a corner or guess coordinates. PocketESign renders the PDF in the browser so you can work directly on the page.
- SignaturePlace the recipient's signature field on the correct agreement section.
- InitialsUse initials where your document calls for them.
- DateAdd a date field beside approval or signature areas.
- TextCollect a short value or acknowledgement when the PDF needs one.
- CheckboxCapture a specific yes/no or selection field.
The recipient gets the document, not your dashboard.
Your customer, client or approver can complete the request without creating a PocketESign account.
Open the invitation
The recipient follows the signing link delivered for that request.
Review the PDF
They see the document and the fields assigned to them in the signing workflow.
Complete required fields
They apply the required signature or other assigned fields and finish their step.
Next signer continues
If signing order is enabled, the next eligible signer receives their turn after the previous signer completes.
Know whether the request is waiting, viewed or finished.
The dashboard is built around the state of the document rather than a generic file list.
Send the same type of document without rebuilding the fields.
Templates are for documents whose layout and signer roles genuinely repeat.
Save the layout once.
After preparing a draft, save it as a template instead of sending it. PocketESign keeps a reference to the reusable template and shows what it contains before the next send.
Inspect before reuse.
Template Details shows pages, signer roles, field types, signing order, expiration and usage history so you do not have to choose a template blindly.
Read template best practices →A credit follows the document lifecycle.
PocketESign is designed so an unfinished request does not permanently consume the credit.
Provider credentials stay server-side
Signing-provider API credentials are not exposed to the browser.
No source PDF in Media Library
Your uploaded source PDF is not retained in the WordPress Media Library. It is processed through the signing workflow.
Signed lifecycle webhooks
PocketESign uses verified lifecycle events to update signing-request status automatically.
Completed records stay retrievable
Completed requests provide access to the signed-document workflow and related activity from your account.
Use the same signing engine for different business documents.
PocketESign does not force every approval into one form. Send the PDF that fits the decision.
Change orders
Document changed scope, price and schedule impact, then send the PDF for approval.
Create one → Service businessesWork authorizations
Get approval for defined or limited work before the technician proceeds.
Create one → Sales / jobsEstimates & proposals
Send the exact estimate PDF the customer should approve before scheduling work.
Read workflow → CloseoutCompletion sign-offs
Capture completed scope, remaining items and customer acknowledgement.
Create one →The practical questions.
Do recipients need a PocketESign account?
No. Recipients open the secure signing link they receive and can complete the document without creating a PocketESign account.
Can I place signature fields visually on the PDF?
Yes. PocketESign includes a browser-based visual editor for signature, initials, text, date and checkbox fields.
Can more than one person sign the same document?
Yes. You can add multiple recipients and optionally require a signing order.
What happens to a credit while a document is waiting for signatures?
One credit is reserved while the request is active. It is permanently consumed only when the document is completed; cancelled, declined or expired requests release the reservation.
Can I reuse the same document setup?
Yes. Save a prepared document as a template so signer roles and field placement can be reused for future recipients.
What can I see after I send a document?
PocketESign tracks document states such as Sent, Viewed and Completed and provides document details, signing activity and access to the completed record.
